Understanding Email Notifications


This article provides a detailed overview of the various email notifications you will receive upon adding email addresses to the Notifications section. It’s important to note that all listed emails will be sent to any email address configured at the time a transaction occurs. Learn about the specific emails that are dispatched at key transaction points within our platform, helping you stay fully informed about activities.



New Reservation is Confirmed


When a new reservation is made through either the manager or guest portal, a confirmation email will be automatically sent to all email addresses listed in the Notifications section. Each email will include your campground information and will feature details specifically customized to the reservation.


Email Subject: The Subject of the email will be, "New booking [reservation number] is confirmed." whereas [reservation number] will be filled with the reservation number for reference.


Email Body: Here is an example of what is sent in the body of the confirmation:

View Booking Details: The "View Booking Details" button in the email directs you to the guest portal view of the reservation. Since you will not be logged in as the guest, you will not have access to the reservation details. To view the reservation within the platform, simply copy the reservation number and search for it under Reservations.


Policies: If you have established a Cancellation Policy and/or General Policy, links to these policies will be included in the confirmation email, allowing your guests to review them as needed.


Invoice Attached: A copy of the invoice, detailing the costs associated with the reservation, is attached to the confirmation email.


New Reservation is Requested by Guest


When a new reservation is requested by a guest through the guest portal, an email will be automatically sent to all email addresses listed in the Notifications section to let you know there is a request waiting for review. Each email will include your campground information and will feature details specifically customized to the reservation.


Email Subject: The Subject of the email will be, "New request for booking [reservation number]." whereas [reservation number] will be filled with the reservation number for reference.


Email Body: Here is an example of what is sent in the body of the confirmation:


There's a new booking request [reservation number] from [Guest Name] for [Campsite Name] on [Booking Date].

Reservation Change Requests by Guest and Suggestions by Campground Emails


There is a feature where a guest can request changes to their reservation online and you can accept or decline the request. You may also suggest a change to a guest's reservation that they can accept or decline. There are a series of emails that are sent to make sure you are notified of these requests.


New Reservation Change Request Submitted by Guest


Email Subject: The Subject of the email will be, "[Guest Name] requested a change for [reservation number]" whereas the [Guest Name] will be filled in with the guest's name and the [reservation number] will be filled with the reservation number for reference.


Email Body: Here is an example of what is sent in the body of the confirmation:

View request: The "View request" button will take you into the reservation to view the requested change where you can approve, decline or suggest a different option.


Reservation Change Request Withdrawn by Guest


Email Subject: The Subject of the email will be, "[Guest Name] withdrew change request for [reservation number]" whereas the [Guest Name] will be filled in with the guest's name and the [reservation number] will be filled with the reservation number for reference.


Email Body: Here is an example of what is sent in the body of the confirmation:

View reservation: The "View reservation" button will take you into the reservation.


Guest Declined a Reservation Change Suggestion


Email Subject: The Subject of the email will be, "[Guest Name] declined booking change request for [reservation number]" whereas the [Guest Name] will be filled in with the guest's name and the [reservation number] will be filled with the reservation number for reference.


Email Body: Here is an example of what is sent in the body of the email is:

View request: The "View request" button will take you into the reservation to view the declined change request.


Guest Approved a Reservation Change Suggestion and Reservation Updated


Email Subject: The Subject of the email will be, "[Guest Name] approved change request for [reservation number]" whereas the [Guest Name] will be filled in with the guest's name and the [reservation number] will be filled with the reservation number for reference.


Email Body: Here is an example of what is sent in the body of the email is:

Open reservation: The "Open reservation" button will take you into the reservation.


Guest Replied to a Reservation Change Suggestion


Email Subject: The Subject of the email will be, "[Guest Name] replied to change request for [reservation number]" whereas the [Guest Name] will be filled in with the guest's name and the [reservation number] will be filled with the reservation number for reference.
