How to Settle an Invoice

There are two different ways of settling an invoice within the Good Sam Booking platform - you can either use the “Settle Remaining Balance” shortcut from the Reservation Dashboard or, if you want a more in-depth look at the invoice itself, you can navigate to the “Payment” tab of the specific reservation you’re looking to settle.

Getting Started: As mentioned above, there are two ways to settle a reservation invoice:

1. The quickest way to settle an invoice is to use the Settle Remaining Balance shortcut. This shortcut is located within the dropdown menu that comes from hovering over the “i” on the right side of an individual reservation on the dashboard.

Once you click the Settle Remaining Balance button, a pop up window (shown below) will display with the amount in the upper left corner and two drop down menus for “Payment Type” and “Payment Amount”. Select whichever payment option and amount this payment is for and select “Make Payment”. If you chose “Full” for the Payment Amount, the reservation on the dashboard will change from orange to green.

2. For a more in-depth look at the invoice before you settle it, you’ll want to settle from the reservation’s Payment tab. To get there, find the reservation on the dashboard, hover over the “i”, and click the pencil icon to edit the reservation.

This will bring you into the “Reservation” tab and provide a full reservation summary; to navigate to “Payment”, head to the top of the page and it will be the fourth tab over (shown in the image below). Once in the Payment tab, scroll down and you’ll see the full invoice and a green “settle” button at the bottom right of the window (shown in the image below) - click this and a payment settlement popup will appear.

Choose the amount you would like to charge with “Payment Amount”, then click into the “Payment Types” menu and choose your desired payment type.

Credit Card: Select Credit Card, enter the credit card information and then click “Make Payment”.

Cash: Select Cash, then click “Make Payment”.

Check: Select Check, then click “Make Payment”

Taken Off-Line: Select Taken Off-Line, enter a Reference Number, and Note, then click “Make Payment”.

Note: If you do not have or want a reference number or note associated with the payment, you’re able to simply enter N/A.

With whichever payment option you chose, you have now settled the invoice. The payment will be logged at the bottom of the invoice with the Date, Payment Type, and amount.
