How to Accept Reservation Requests

When you are not using the instant book feature, reservations will come in as a request. A request simply means that a guest has selected a site (or site type), entered their credit card information and are currently waiting on you to approve their booking.

To set up Requests, go to your Campground settings, click on Booking and uncheck "Allow Instant Bookings." Be sure to click the Save button before navigating away.

Once the guest submits their request, an email will automatically be sent to the email you have put in your settings to receive reservation receipts. To confirm you will receive these emails, go to your Campground settings, click on Reservations and enter your email address into the "Send copy of Reservation Receipt to" field. You may enter multiple email addresses to notify by adding a comma in between each one. Make sure to click the Save button before leaving the screen.

Once the guest has selected their site or site type and entered camper information, they will input their credit card information and place their reservation. Once the request is submitted, your guest will see the following screen that informs them they submitted a request and they should receive confirmation within 72 hours.

Your guest will receive an email informing them their request is under review.

If you do not accept or deny the reservation within the 72 hour window, the reservation request will be expired. At this time the guest will receive an automatic email notifying them their request has not been responded to and the credit card hold will be released in full.

The email sent to your inbox will look like the one below.

From this view, you can immediately accept or deny the reservation OR you can go to app.campgroundbooking.com and click on the "requests" tab. If you click from the email, you are brought into the app for the action to complete.

Note: Once you click on approve or deny, an email will automatically be sent to the camper to notify them their request has been confirmed or denied. Below is an example of an approved reservation.

If you want to view more information about this request or contact the camper, you can double click into this request (or click on the three dots on the right and select 'edit'). 

This screen will show a breakdown of the entire reservation. If you want to contact the camper, you can select the "contact camper" link next to 'deny' and you can see the guest's email address. By emailing the camper, you can let them know you're denying their request and ask them to request another set of dates. 

Note: There is no way to edit the request before approving it. You will need to either deny and create another request or approve it and change after it is a reservation.



Once you approve the reservation, a confirmation number will appear on your screen (see below). If you want to move this guest into another site, you can do so by clicking onto the confirmation number.

Note: If you allow guests to book by site type (i.e Back-In or Pull Thru) versus picking a specific site (i.e Back-In Site #45 or Pull Thru Site #45) then they will be placed in the first available site that can accommodate their RV.
