Explanation of Inventory Import File Fields
We can upload your inventory items into the platform to cut down on the time to add your items. See the template spreadsheet at the bottom of this article.
The mandatory fields have an asterisk (*) in the column header.
Column explanations:
- *Item Name: Mandatory and it is used on invoices and reporting.
- Category label: Are the camp store items some that you think will be good to group together? For example, Food items, RV Supplies, etc. If so, you can add the label here.
- Category Slug: If you use Category label, just name this the same.
- Tax Rate Name(s): This is important so we make sure to charge the correct taxes. The tax should already exist in Taxes. If there is a new one you need added, we can help with that..
- *Description: Mandatory but not displayed unless you are allowing an item to show on online orders. You can just copy the Item Name into the Description if not showing online.
- Terms: is used when an item is available for online reservations and you want someone to agree to terms before adding it to their reservation.
- Make available on reservation (Y/N): Enter "Y" for Yes if you want this inventory item to show up for online reservations. Enter "N" for No if you do not want this showing as an Add On with online reservations.
- Only available as an Upsell (Y/N): Enter "Y" for Yes if this would only be something that isn't a physical product such as extra fees attached to a reservation. Enter "N" for No if not the case.
- Add as per night of reservation charge (Y/N): Enter "Y" for Yes if this will be a fee added per night on a reservation. For example, you have a rental that someone can have for their stay such as a cable box at $10/night. You may add this with it as a per night charge an the platform will calculate and add it when this item is added to the reservation invoice. Enter "N" for No if this item isn't added as per night charge.
- Featured (Y/N): Enter "N" for No as this flag isn't currently being used.
- Metered on Sites (Y/N): Enter "Y" for Yes if this item is a utility that is metered. If you enter Y, make sure to add the Units for Meter Reading. When set to "Y" this will be available on Sites to add a metered reading and add it to a reservation if needed. Enter "N" for No if this is not a metered item.
- Units for Meter Reading: Enter the type of metered item this is if you entered "Y" in Metered on Sites. For example, kWh, Water.
Next fields are the fields specific to the different varieties of the same item. For example, if you are selling a campground logo t-shirt in different sizes, you can have the same item with different variations. To capture this, you will need to have multiple rows with the same top level item information with different Variation Names, SKUs and pricing if applicable.
- *Variation Name: This can be the same as the Item Name if this is the only type of the item. If you have a variety of the same item you are adding, you can name it as such. For example, "Logo T-Shirt Adult Small"
- *Variation Price: Enter cost of the item. If it is a metered item, you can enter up to the ten thousandth place.
- Variation SKU: (Stock Keeping Unit) You can optionally track the item's SKU by entering it here. Currently not used within the platform.
- Variation Track Stock (Y/N): Enter "Y" for Yes if you want to system to keep a count on in stock items left. Each time one is sold through adding to an invoice, the system will update the In Stock inventory. This field works with the "In Stock" field. Enter "N" for No to not track stock.
- Variation Number In Stock: Enter how many of this item you have in stock.
- Variation Alert (Y/N): Enter "Y" for Yes if you want to receive an email notification when you run low on this item. This field works with the "In Stock" and "Low Stock (alert at)" fields.
- Variation Low Stock (alert at): Enter a number where you would like to receive an email telling you in stock has reached this number.
