Platform 2.0 - Check In a Reservation
When a guest arrives and is ready to check in, you can do this in their reservation. This allows you take remaining payments and begin tracking their stay.
What actions are available before and after checking in a guest?
- Before check-in: You can edit the reservation, cancel it, refund, and/or collect payment.
- Day of check-in or later: You must first check the reservation in before you are able to take additional payments. All other actions are available before clicking the check in button. Once the reservation is checked in, you cannot change the site assignment unless you reverse the check-in first.
To check in a guest, you must find their reservation first. There are various ways to find a reservation.
- Look at Dashboard at the day and find the site the guest is assigned to. Click on the reservation to pull up the card and then click the "Reservation Details" button.
- Go to Reservations and search for the guest's reservation. Click to view this article on how to search Reservations.
- Pull the Check-In Report for the day and click on the reservation for the guest.
Once you are in the Reservation, the "Check-In" button on the lower right of the reservation screen:
Once checked in, the status changes to CHECKED-IN and you can collect any remaining payments:
Reverse a Check-In
You may find you need to reverse the check in on a reservation. This could be due to checking in the wrong reservation or needing to change the site.
To reverse the check in, edit the reservation and click Make Changes to find the "Undo Check-In" option:
đź’ˇ Tips
đź’ˇ You cannot check a guest in before the starting date of their stay. You will need to change their reservation to when they start their reservation to check them in.
đź’ˇ You cannot take payment on the reservation the day of their check in without checking the guest in first. This also applies to any date after their check in date.
⚠️ If you need to move a guest to a different site after checking them in, you’ll need to uncheck them in first. You can’t change a site assignment while a reservation is marked as “Checked In.”
