Platform 2.0 - How to Shorten a Reservation Without Charging a Cancellation Fee
Sometimes, a guest wants to leave a day or two early. If your settings apply a cancellation fee automatically, but you'd prefer to waive that fee, here’s how to make the update manually.
Start by Editing the Reservation. From the booking page, click the “Make Changes” button in the upper right corner. This opens the editable view of the reservation.
Adjust the Reservation Dates. Change the check-out date to reflect the guest’s new departure.
⚠️As soon as you change the dates, the system will automatically add a cancellation fee.
Change the Cancellation Fee to $0. You’ll see a box labeled “Calculated Cancellation Fee” — it may show something like $26.40. Click into the box. Manually change the amount to $0.00. Then you will click the green check mark to apply the change. This step is required before you can save.
Save the Updated Reservation., then scroll down and click “Save Changes” to finalize everything. The cancellation fee will now show as $0, and the refund or balance due will update accordingly.
Note: You’ll Need to Do This Every Time
Even if you’ve already zeroed it out once, the system will reapply the cancellation fee every time you update the dates.
So, remember: each time you make a change, double-check that fee box!
Once the cancellation fee is adjusted and the reservation is saved, you can send the updated invoice directly to your guest. Click here for the article on how to send an invoice to the customer
